This privacy statement outlines how Reading Bowling collects, uses, and protects your personal data when you participate in our sports and social activities as a member or guest. We are committed to respecting your privacy and complying with the UK General Data Protection Regulation (GDPR). The club has nominated the Honorary Secretary/Membership Secretary as the person responsible for data protection.
Personal details:
Name, gender, contact number, email address, postal address and in
some cases date of birth. We also hold emergency contact information for some members.
Membership details:
Membership type, joining date, subscription payments, membership
status.
Participation:
Records of matches played, team details, performance statistics,
attendance records
Social event information:
Event attendance, dietary requirements, partner details (if
relevant).
Closed Circuit Television Footage (CCTV):
Video footage of the public areas of the club
including inside the clubhouse and car park.
Membership management:
To manage your membership, process payments, communicate important updates
regarding club activities, and maintain accurate contact details.
Administration:
To organise teams, schedule matches, organise competitions and manage league
registrations.
Social events:
To plan and manage social events, send invitations, and collect dietary information.
Communication:
To send newsletters, updates, and relevant information regarding club activities and
events.
Compliance:
To meet legal and regulatory requirements, including affiliation and reporting to governing
bodies.
Prevention, detection, investigation or prosecution of crimes:
To identify persons and capture evidence on and in club property in the event of a crime
taking place.
The Royal County of Berkshire Bowling Association:
We share relevant information with RCBBA for the purposes of competition registration,
member and club affiliation and other administrative purposes.
Third Parties:
At times we may share relevant data with other third parties, such as other bowls
competition organisers.
Access to information:
You have the right to request access to your personal data held
by the club and receive a copy of it.
Right to rectification:
You can request to correct any inaccurate or incomplete personal
data.
Right to erasure:
In certain circumstances, you may request deletion of your personal
data.
Right to restrict processing:
You can request that the club restricts the processing of
your personal data in specific situations.
Right to object:
You have the right to object to the processing of your personal data for
marketing purposes.
All personal information is stored securely, electronically and is only accessible by those who need it to perform club duties such as Captains, Team Managers, Secretaries and the Treasurer.
When your membership has ended, electronically held personal data will be deleted once it is no longer relevant or after a maximum of 3 years. Physical records such as honours, meeting minutes and display boards will be kept ongoing as they form part of the documentation of the club’s history.
CCTV footage is only accessible by the Honorary Secretary/Membership Secretary as the nominated Data Protection officer of the club and will only be shared further with other club members if it is strictly necessary or relevant. CCTV footage will be retained for a maximum of 31 days in accordance with UK Police recommendations.
